The five numbers to check monthly

You do not need a dashboard with forty metrics. You need five numbers, looked at consistently, with attention paid to their direction rather than their absolute value.

The five

  • Cash in the bank, and the change since last month.
  • Revenue, split into new and recurring or repeat.
  • Gross margin percentage.
  • Fixed costs, and anything new that appeared in them.
  • Accounts receivable over 30 days — money you earned and have not been paid.

That last one is where small businesses leave the most money. Late receivables are an interest-free loan you are making to clients who did not ask for one, and they are usually fixed by a polite process rather than a hard conversation.

Trend beats snapshot

Keep the last twelve months visible for each number. A single month tells you almost nothing; three months of falling margin tells you something is structurally wrong, usually in pricing or in scope creep.

Try it

Put the five numbers on one page for the last twelve months and book a recurring 30 minutes on the first Monday of each month. The review is worth more than the tooling — a spreadsheet is fine.
